Exactly like Kevin said, "We have a in-house IAM system that keeps groups and users in sync between Active Directory, LDAP, and Google Workspace (among other services)." The only difference is that we use GAM (fired off by the IAM system) instead of direct API calls. ------------------------------ ...

Hey, All, In the past few days we've had users ask why they can no longer use Google Messages. I looked in the console, and it's OFF for everyone. None of us admins turned it off, so I don't see how it was working before, unless Google made a change. So far, no help from Google Support. Has anyone ...

Ian, This seems plausible - I've been using a Vault retention rule to delete alumni Drive data, and have found that after 3-5 days, it gets "stuck," and deleting the rule and recreating it causes it to start working again. So now I have a calendar reminder to do this, since it can't be automated ...

Hi, Allan, I'm not sure how much time has elapsed since you deleted the files, but we have seen delays of up to a couple of days in what Google reports. Greg ------------------------------ Gregory Booth Sr. Systems Admin & Tech Team Lead Michigan Technological University ---------------------- ...

"Moving folders from MyDrive to Shared Drive is now a setting, and the admin role is no longer necessary." I can't believe it, we've been begging for this for years. ------------------------------ Gregory Booth Senior Systems Administrator & Technical Team Lead Michigan Technological University - ...

Tron, The process account is a good idea, I wish we had thought of that. We simply broke sharing (after months of warnings), and gave it 4 months to shake out before actually deleting the files. There have been a few cases of extremely complicated nested folders in a researcher's My Drive that are ...

We made the decision to not set quotas, but instead to disable Drive for alumni/inactive students (and delete the data). That being said, we are definitely not "advertising unlimited storage," we just didn't say anything other than telling fac/staff, "Because Google is going to start charging for storage, ...

Jeremy, We tested that by moving the users to an OU with a Drive Trust Rule that breaks sharing. But all that does is disallow the share, it does not remove it - if you move them back to another OU, or disable the rule, the shares are still in place. Vault doesn't check to see if a rule is disallowing ...

Hi, Allan, I did get confirmation from Google that this is the case - the Vault deletion trick will not delete files shared to others, just unshared files. I posted my planned workaround in this thread, but basically, after doing the vault deletion, we will be using GAM to crawl the remaining files ...

Chuck, Thanks for posting the draft. Something I'd suggest adding is that, in our testing, the Vault deletion method only deletes files that are not shared to other users. Any file that is shared will be untouched by this method. Thus, we are planning a two-step process when we are ready to start deleting ...

Allan, We're also testing setting zero quotas for our alumni. Google made the decision some months ago to not impede mail even in an over-quota situation, for .edu at least. I made a test user with a bunch of files in My Drive and slapped a zero quota on it. Here is the behavior I've observed when logged ...

Hi, Allan, It does indeed kill all Drive functionality - they cannot go to drive.google.com, the Drive app is no longer available in the menu, and if they try to open a link to a doc that has been shared to them, they will see: We are sorry, but you do not have access to Google Docs. Please contact ...

Hi, Robert, We switched Google to use our SSO in 2021. We use CAS and Duo MFA. For the most part, it worked fine from the get-go, just a couple of things we ran into: We had to set up app passwords for some things It broke Outlook for us, this is specific to CAS. Fortunately we have very few Outlook ...

Thanks, Jeremy! Just to clarify, we are not trying to purge Shared Drives, I am excluding them from the retention rule. The files that won't delete are ones that are in the user's My Drive, and are shared to another user. I left the user in the /incinerator OU for more than 15 days and those files ...

Hi, All, I wonder if anyone has found the quirks I'm seeing as I experiment with the Vault Retention file deletion trick posted earlier: I have a Vault Retention rule set up to "Purge all items" 1 day after creation, excluding Shared Drives. This rule is applied to an OU I'll call /incinerator. I have ...
