Box withdrew their plans to cap their storage, and the price increases were modest. They only stipulate that you shouldn't use their storage for backup or archive. It's hard to compare prices because you may have different starting points. If you're a Google school, it may make sense to license Box for ...

We have our Shibboleth system set up to allow the impersonation of other accounts. That way, two staff members can have rights to one service account that doesn't have a known password. They log in with their own credentials, use their own 2FA, and then get one more screen to select the service account. ...

Ian, It occurs to me that this may be misleading. A profile can have more than one verified emails. The user can (and should) create the profile with a personal account, then verify an email at the institution to verify their connection to the university. Your number is the number of verified accounts, ...

Hi Sarah,We have attempted from the beginning to view this holistically and created the Strategic Storage Initiative to create a framework to communicate storage choices and best practices to our users. In practice, the need to accomplish certain tactical goals like Google quotas trumps that strategic ...

After the inconsistent storage reporting at the account level that you posted about last week, you're surprised they get it wrong at the domain level? -Chuck -- Chuck Boeheim [::] CIT [::] Collaboration ServicesBox :: Google Workspace :: Adobe Sign :: Confluence :: Jira :: SharePoint

Ian, I'm pretty sure this means "unless you've set a higher quota for them via a quota group." It's a poorly-worded message. -Chuck

Ian,The important bits are the fileid and the id of the parent folder or drive. The filename is just for human recognition and can always be retrieved with full fidelity given the fiileid. I would truncate to 128 characters and filter out unprintable characters (but remember that you'll definitely have ...

Just curious. If the users are buying their own licenses, how are you tracking that they renew the licenses a year from now, so you know whether to maintain their quota or shared drive, or remove it? -Chuck -- Chuck Boeheim [::] CIT [::] Collaboration ServicesBox :: Google Workspace :: Adobe Sign :: ...

This is something I just discovered about user Drives, not ShareDrives, but it's related. The API call /drive/v3/about&fields=storageQuota gets both the total amount used for the user account and the amount in Drive. It's real-time, unlike the reporting interface that returns data that's three days old. ...

That will primarily disable the owner from getting to the data. Other people sharing the data can still access it. The Internet 2 working group on Google Deprovisioning has compiled a chart of different actions that could be part of a deprovisioning process, what their consequences are as well as pros ...

The two ways that I know to remove the sharing are 1) Crawl the user content with GAM and remove the ACLS.2) Put the user in an OU with Drive Trust rules enabled that prevent sharing. Method 1 is not reversible in practice, unless you record every ACL you remove and put it back.Method 2 is reversible, ...

We're looking at a two-stage process: rename the user from netid@cornell.edu to formerly-netid@cornell.edu, and move to an OU with services disabled. Then delete the account somewhat later. That leaves more time for people to notice and rescue their accounts. -Chuck -- Chuck Boeheim [::] CIT [::] Collaboration ...

You can move them with GAM: gam update user ou /students And cleaning up your OU: gam delete users ou /larvae -Chuck -- Chuck Boeheim [::] CIT [::] Collaboration ServicesBox :: Google Workspace :: Adobe Sign :: Confluence :: Jira :: SharePoint

Seems like a lot of work for uncertain gain, but if you've lost that battle already...I would put the larval students in a separate OU with only gmail enabled to limit what they can do, and limit what you have to clean up.Then when they hatch into real students, move them into the general student OU. ...

We have tens of thousands of users getting quota overrides from their base OU quotas via groups. We'd certainly notice if overrides weren't working. Are you trying to impose a higher limit with a group or a lower limit? I've never tested trying to reduce an OU quota. -Chuck -- Chuck Boeheim [::] CIT ...

Don't forget that you can also use groups to enable/disable services. That may keep you from having to move users between OUs. I've been thinking of an OU structure like this:/deprov/stage1/deprov/stage2 Where stage1 has zero quota and gmail still enabled, and stage2 has drive and gmail turned off, and ...
