Gretchen, We have code that moves all of our suspended users into a Google Group and then we apply badge labels to members of that group using this process: - In the Google admin console, go to "Access and data control" and then "Data protection" (not "Data classification") - Click on "Manage rules" ...

Hi, Everyone, We are applying Badge labels to files to be deleted using a Google Group. However, when a person is removed from the Google Group, that person's files (often, always?) continue to be labeled. Has anyone found a way to reliably remove labels assigned by a group to a user's files when that ...

Hi, Everyone, CWRU is considering reducing the number of Google apps we provision to our new users, especially the "non-core" ones. YouTube seems like a really tricky one. I think that we would get a LOT of pushback if we turned it off, but having it on creates issues. We aren't thrilled with the idea ...

Hi, Everyone, Our mail team is struggling to understand how we can possibly meet Google's (and Yahoo's) new mail requirements by the February 2024 deadline. Are other institutions struggling with this as well? Any advice or insights? Tron -- Tron Compton-Engle (he/him/his)Senior Director, Client Ex ...

Hi, Chuck, We have changed the names of our suspended users as you suggested. However, it isn't working to change the profile picture. When we try to set a profile picture via the API, the default suspend user profile picture (grayed out person with a slash) appears instead. If we unsuspend the account, ...

Hi, Ian, Yes, the labels do still function in those two ways. However, the label at the top of documents only appears for native Google documents (Docs, Sheets, and Slides). So, for any other file type (PDFs, images, etc.), there is no visual queue to the user that the file will be deleted. The user ...

Hi, Everyone, We have done some more testing. We applied a Plus license to one of our suspended users and the "Scheduled for Deletion" label immediately appeared in the details pane of a file owned by that user. Then, we removed the license and the label immediately disappeared from that file's details ...

For those of using labels to surface files scheduled for deletion, I am seeing another issue. The label is not appearing in the details pane of the file like it did in our test domain. It only appears when you open the file by the document title (if the file is a native Google format such as Docs or ...

Hi, Jay, You need to use a Data Protection rule instead of a Data Classification rule. When you are going through the rule creation wizard and it asks for a condition, click Continue without configuring anything. That will apply the label to all files owned by the people in the selected OU. Tron -- ...

Allan, It is automated. We have code that looks at the members of Shared Drives and acts on any that do not have a manager with a "satisfactory" university affiliation. Actions include things like adding the members of the drive to a Google Group so that we can communicate with them, change the drive ...

Candace, At CWRU users are able to create their own Shared Drives. We set the quota per drive at 100 GB. We require that all drives have an "active" manager (faculty, staff or student account). Drives without an active manager go through an extensive warning process before then being deleted. We also ...

Thank you, Michael. I was hoping to find a way to allow users to continue to be able to create their own sites, but also limit their storage across all sites they own. We are primarily a Google campus, so we are ahead of the game managing storage there. In Google, the best we could do was to prevent ...

However, how are others handling: 1) Preventing users from creating an unlimited number of SharePoint sites and in essence ...

Hi, Everyone, We are having trouble with some API code we are using to identify files owned by suspended users. We are adding an "expiring-files" account to those files so that it is easy for users to search from them in Google Drive. However, when someone returns to the university and we "un-suspend" ...

Ian, I have only done this manually on My Drives less than 100 TB, but how about moving the files to a Shared Drive and then deleting the Shared Drive. Manually you can only move so many files in one action, but perhaps you could use the Google Drive API to do it programmatically on large My Drives. ...
